JOB PURPOSE

The role of Office Assistant is varied, fast-paced and involves a high level of multi-tasking. You will work and provide support to all disciplines across the business and be the first point of contact for our clients, visitors and employees. You will be passionate about creating an environment for people to flourish and efficiency of daily office operations. From scheduling meetings, to communicating between teams, you will be responsible for completing multi-level tasks in a professional and timely manner.

The role will report to and support the Office & Special Projects Lead and will be part of our growing People and Operations team. You will be surrounded by people who are extremely passionate about what they do and love creating processes to ensure we deliver exceptional work and experiences for everyone at Byte. 

KEY RESPONSIBILITIES

This role is exciting, varied and constantly evolving. In this role you will:

  • Coordinate and support the Office & Special Projects Lead with managing the day-to-day office operations 
  • Act as a main point of contact for all office & IT related queries 
  • Book couriers for the teams and manage incoming and outgoing post
  • Organise the logistics for company-wide meetings 
  • Monitor company email groups and respond to incoming calls
  • Meet and greet all guests and help with any queries
  • Organise lunches and meeting rooms for clients or internal meetings 
  • Purchase office supplies (e.g weekly shop)
  • Oversee the scheduling of the meeting rooms and maintenance of the equipment within 
  • Purchase gifts for employees, suppliers, clients, etc 
  • Complete IT & office related onboarding & offboarding actions 
  • Support the agency in its pursuit to become BCorp certified 
  • Work with the Office & Special Projects Lead and People team to design, manage, book and execute events across the agency 
  • Arrange travel, accommodation bookings and produce travel itineraries for the management team including any Covid-19 requirements 
  • Support other special projects across the agency 
  • Maintain cleanliness and safety of all areas of the office, including kitchen and meeting areas
  • Liaise and establish a good relationship with building reception and suppliers
  • Create and maintain a safe workplace for all staff and coordinate health & safety compliance
  • Make sure all equipment and computers are fit and ready for use
  • Liaise with external IT support to fix more complex IT issues
  • Comply with the activities relating to ISO 27001 standards
  • Maintain an asset inventory and office furniture inventory

SKILLS AND PREVIOUS EXPERIENCE 

Essential:

  • At least 1 year experience of working in a similar role 
  • Super organised and high attention to detail
  • Great interpersonal and listening skills
  • Ability to build strong relationships with both internal and external stakeholders 
  • Passionate about people and having a well-oiled workplace
  • Task-driven with a “can-do” attitude and desire to learn new things 
  • Comfortable responding and adapting to change
  • Experience of working at a fast growing company 

Nice to have:

  • Basic knowledge of IT operations
  • Understanding of BCorp certification requirements

When it’s safe to return to the office our flexible working approach will include a hybrid mode of working incorporating remote and in-office working.
