The freelance Office Manager helps to take ownership of our New York office that we are currently sharing with other agencies under the Dept umbrella. We would like this person to help maintain the shared office space and make it an amazing place to work! This person will have a varied role - supporting Byte New York us as a facilities manager, administrative assistant, and countless other tasks that will pop up from time to time.

We’re looking for the kind of person that can take charge and make things happen, someone who
is a real people person. It’s crucial that you be up for the many challenges that will come your way
and approach each challenge with confidence and a positive attitude.

Currently, we are offering a maximum of 15 hours per week to accommodate our hybrid working staff.

The role of our freelance Office Manager is exciting, varied, and constantly evolving. In this role, you will:

  • Take responsibility for relationships with office suppliers and services
  • Liaise with building and facilities management
  • Meet and greet all guests, including screening for COVID health & safety questionnaires
  • Help with general inquiries from our team and other Dept agencies
  • Liaise with our 3rd Party IT Partners to manage IT-related resources and make sure all computers are ready and fit for use and stored securely
  • Maintain a safe and effective workplace for staff and oversee health & safety compliance and implement necessary procedures
  • Manage cleaning staff to maintain cleanliness and safety of all areas in the office, including kitchen and meeting areas
  • Oversee and manage hot desk seating via Skedda
  • Manage onsite Wednesday weekly lunches
  • General admin support, including purchasing assets and tracking and managing expenses for special projects


  • Work experience in relevant team support or office management role

  • Proficiency with Microsoft Office (Word, PowerPoint, Excel), Google Docs, and Dropbox
  • Proficient with both Macs and PCs, including the installation of software and other setup tasks
  • Comfortable with new online tools and databases
  • Ability to react quickly within a fast-paced environment
  • Ability to remain focused under pressure and work under tight deadlines

*The COVID-19 pandemic has seen nearly everybody move to remote working and this is something we’ll continue to do this year. Our approach is reviewed and adapted in line with the changing restrictions. When it’s safe to return to the office our flexible working approach may include a combination of office and remote working.
